Sr. Administrator - Claim & Warranty Auto Spare Parts

Description

Consignment Claims Submission (VIA Email)
? Raising Parts Consignment Claims TO MEDC Using Different types of Claims Categories as below.

1. Concealed Damaged
2. Defective Material
3. Shortages-Overages
4. Incorrect Parts (Wrongly Received inside the Good Packing)
5. Incorrect Pricing (Market based Pricing)
6. RTO (Material Returned to Origin - Core Parts-Obsolete Parts)
7. Scrapping Materials (Phase 3 Core Parts-Obsolete Parts(RIM-Non RIM and MEDC Claims Audit (MEDC sending Reports when they need to Scrap the Claimed Parts.

? Send supporting photographs & signed claim form to MEDC and follow up till we receive the credit note.
? Taking immediate action for Damages, shortages, incorrect parts in Kerridge (negative purchase to avoid issuing for customers)
? Reconcile “Claim summary reports from MEDC” with our outstanding report.
? Updating Kerridge Report for Executive Parts Manager when necessary Credit notes Received (Outstanding Credit notes)
? Coordinate with GM Representative & scrap Core Phase3 core parts.
? Preparing Commercial Invoices, Packing Summary on Company Letterhead and taking director’s signatures for shipments forwarding to DUBAI.
? Preparing Returnable Core parts Shipments at Our Central Parts Department for MEDC Dubai and Coordinating with Shipping Companies (DHL, TNT) for Pickup.
? Collect and arrange all returnable core units in a designated area, Inspect accordingly, complete all necessary paper work from all branches.
? Stock adjustment In Kerridge for Shortage claims.
? Follow-up Email Corresponding for outstanding matters (Summary of Claims, Credit notes)
? Updating Core Units Log on Daily Bases when units received from all branches.
? Coordination with GM Core Management staff thru emails and Whatsapp
? Provide a report to the Executive Parts Manager regarding claims status. Point out any claims requiring special attention.
? Contact the CSBM(Customers Service Business Manager) regarding any claims requiring additional authorization or for requiring special assistance.
? Claims Credit notes Registration in Kerridge.
? Receiving Credit notes regarding claims and forwarding to Accounts Department for verification for (F000001 Account).



Warranty Claims Submission in GWM (Global Warranty Management)
? Operating Global Warranty Management system and submitting Warranty Claims for Retail Counters , Wholesale Department , Workshop Repairs , Body shop Repairs)
? Determine and enter the applicable labor operation codes, failure codes, and/or other required administrative data on the Warranty Job Cards.
? Contact the AWTM(Area Warranty Technical Manager) regarding any Warranty claims requiring additional authorization or for requiring special assistance.
? Receiving Credit notes regarding Warranty claims forwarding to Accounts Department for verification (W0000002 Account).
? Coordination with Retails Section Sales man in All Branches.
? Coordinate with Warranty Department in workshop.
Other Tasks
• Handling Payroll of Parts Department.
• Maintains the Staff Files of Parts Department.
• Covering SR. Administrator (W/sale)/ Administrator Accounts / Secretary during Vacation.
