Junior EDMS Specialist (Electronic Document Management System)
Key Responsibilities: Document Conversion: Convert physical documents, such as paper records and files, into digital formats using scanning equipment and EDMS software. • Ensure the accurate and organized storage of digitized documents within the EDMS.
Document Management: • Organize, categorize, and label digital documents within the EDMS for easy retrieval and accessibility. • Ensure the confidentiality, security, and integrity of electronic documents. • Assist in defining and maintaining document management policies and procedures. Quality Control: • Conduct quality checks on digitized documents to ensure they are legible, complete, and free from errors.
• Collaborate with colleagues to resolve any document- related issues promptly. User Support:
• Assist employees in locating and accessing documents within the EDMS.
• Provide basic EDMS training to new users and offer ongoing support. Compliance and Records Retention:
• Ensure adherence to legal and regulatory requirements for document retention.
• Implement document retention and disposal schedules in compliance with company policies. Document Retrieval:
• Respond to document retrieval requests promptly and accurately.
• Maintain an efficient and user- friendly document retrieval system. Collaboration:
• Collaborate with cross- functional teams to support document- related needs across the organization.
• Work closely with IT and other departments to ensure EDMS functionality and integration.
Qualifications:
• Bachelor's degree or equivalent education in a related field (e.g., Information Management, Records Management).
• Basic knowledge of document management principles and practices.
• Proficiency in Microsoft Office applications (Word, Excel, Outlook).
• Excellent communication and interpersonal skills. • Ability to handle confidential information with discretion.
• Eagerness to learn and adapt to new technologies.
• Self- motivated with a positive and collaborative attitude.
