Job Summary:

The Administrative Coordinator (Tender Management) is responsible for managing administrative tasks while also overseeing the preparation and submission of tenders. This role involves coordinating office operations, supporting procurement processes, and ensuring compliance with tender requirements. The ideal candidate should have strong organizational skills, attention to detail, and experience in handling tender documentation.

Key Responsibilities:

1. Office Administration & Coordination

Manage daily office operations and ensure efficient workflow.

Maintain office supplies, inventory, and vendor contracts.

Organize and maintain files, records, and correspondence.

Coordinate office maintenance and liaise with service providers.


2. Tender Management

Identify and track tender opportunities from various sources.

Prepare and compile tender documents, ensuring compliance with company policies and client requirements.

Liaise with internal teams (finance, legal, technical) to gather necessary documentation for tender submissions.

Ensure timely submission of tenders, bids, and proposals.

Maintain a database of past tenders, deadlines, and outcomes.

Assist in contract management and post-tender follow-ups.


3. Communication & Support

Act as a liaison between vendors, suppliers, and internal stakeholders.

Draft, proofread, and distribute reports, emails, and official correspondence.

Manage calendars, schedule meetings, and prepare meeting agendas.
