Job Title: Accounts Data Entry Specialist

Job Summary:

The Accounts Data Entry Specialist is responsible for accurately entering, verifying, and reconciling sales data in the system. This role involves processing sales orders, validating invoices, ensuring system sales match invoices, and generating daily and monthly sales reports, Collection of Daily Sales collection, The ideal candidate should have a keen eye for detail, strong analytical skills, and the ability to work with cross-functional teams to ensure accuracy and efficiency in sales data management.

Key Responsibilities:

1. Sales Order Management (If required for certain Channels)

Accurately enter sales orders into the system (Odoo ERP).
Verify customer details, product information, pricing, and terms for accuracy.
Ensure compliance with company policies regarding order processing.
Maintain and update records of pending, processed, and completed orders.
2. Sales Invoice Verification

Match sales invoices with corresponding sales orders and delivery receipts.
Ensure invoices reflect the correct pricing, taxes, and discounts as per company policies.
Validate customer details, payment terms, and due dates on invoices.
Identify and resolve discrepancies between orders, invoices, and payments.
3. Sales Reconciliation

Perform daily reconciliation of system sales data with invoices and sales orders.
Identify missing, duplicated, or incorrect transactions and resolve discrepancies.
Collaborate with sales, finance, and inventory teams to ensure accurate data.
Maintain clear documentation of reconciliations for audit and reporting purposes.
4. Daily Sales Reporting

Generate and share daily sales reports, including total sales, invoice status, and outstanding payments.
Track and report key metrics such as revenue, order volume, and customer trends.
Highlight variances, errors, or potential issues for management review.
5. Monthly Sales Order-Wise Summary Reports

Prepare a comprehensive monthly sales summary report.
Categorize sales data by order, customer, product, and region.
Analyze trends, highlight top-performing products/customers, and present findings to management.
Assist in forecasting and planning based on sales data trends.
6. Data Accuracy & Compliance

Maintain accurate and up-to-date records in the ERP/CRM system.
Ensure compliance with company policies, tax regulations, and industry standards.
Secure sensitive customer and sales data per data protection policies.
Participate in periodic audits and assist in resolving discrepancies.
7. Communication & Coordination

Work closely with the sales team to resolve order-related queries.
Coordinate with finance and accounting teams for invoice approvals and reconciliations.
Respond to customer inquiries regarding invoices, payments, and order status.
Collaborate with IT support to troubleshoot system-related issues.




Qualifications & Requirements:

Education: Bachelor’s degree in Commerce, Accounting, or a related field (preferred).
Experience: Minimum 3 years of experience in sales data entry, invoicing, or reconciliation.
Technical Skills: Proficiency in ERP/CRM systems (e.g., Odoo, SAP), MS Excel, and data analysis.
Soft Skills: Strong attention to detail, problem-solving abilities, and excellent communication skills.MS office
Others: Ability to work under tight deadlines and handle large volumes of data efficiently.
