Description

We are looking for a reliable and self-motivated Admin & Account Assistant. As an Admin & Account Assistant, you will play a crucial role in ensuring the smooth and efficient operation of our office. You will be responsible for a variety of administrative tasks that support our team and contribute to the overall success of our organization.
Key Responsibilities:
 Handle incoming and outgoing correspondence, including emails, letters, and phone calls.
 Draft office correspondences as directed by manager, prepare reports, and presentations distribute incoming/outgoing mail correspondences routes to appropriate departments.
 Monitoring and renewing visas, gate passes and related documents and assisting in day-to-day office administration tasks.
 Preparation of quotation, submission to the client and follow up for the status of quotation.
 Preparation of weekly and monthly status report for RFQ & Purchase order received from Client.
 Maintain Supplier & Client database in the office record book.
 Responsible for the preparation and submission of invoices to the client and follow up for the payment. Preparation and Submission of monthly payment statement and income /cost report for management review and information.
 Coordinate with Fleet department for the arrangement and delivery of equipments to the client.
 Preparation and submission of all required documents to obtain and follow up with client for equipment and operator gate pass to enter in to the KNPC refinery or KOC premises.
 Maintain efficient office procedures and a system for keeping track of requested actions, reports, databases and process requests of staff for leave, holidays and others as necessary.
 Provide administrative and clerical support and coordinate all office procedures.
 Establishes, implements and maintains a filing system for reports, policies & procedures and all correspondence internally and externally from and within the office.
 Maintain and update company databases and filing systems.
 Assist in the preparation of regularly scheduled reports.
 Handle confidential information with discretion and professionalism.
 Support other administrative staff and assist in various projects as needed.
Qualifications:
 Proven experience as an Admin Executive, Administrative Assistant, or in a similar role in Fleet department and Rental of Equipment & Contracting Co.
 Proficiency in MS Office (MS Excel, MS Word, and MS PowerPoint) and Google Workspace.
 Excellent organizational and time-management skills.
 Strong written and verbal communication skills.
 Ability to multitask and prioritize tasks effectively.
 High level of attention to detail and problem-solving skills.
 Ability to work independently as well as part of a team.
 Bachelor’s degree.
 Candidate should be inside Kuwait and must have valid residency Visa 18 with Local transfer.
