Position Title: Logistics Coordinator
Department: Supply Chain / Logistics
Location: Ardiya , Kuwait
Reports To: Logistics Manager

Position Overview:
The Logistics Coordinator is responsible for managing end-to-end logistics operations, ensuring the efficient and compliant movement of medical and pharmaceutical products. The role requires excellent organizational skills, attention to detail, and strong coordination with suppliers, regulatory authorities, and internal teams to maintain seamless operations in line with company standards and Ministry of Health (MOH) requirements.

Key Roles and Responsibilities:
1. Logistics Coordination and Supplier Communication
• Manage all logistics-related activities and maintain regular communication with suppliers via email and other channels.
• Track and follow up on all shipments with suppliers to ensure timely delivery.
• Verify original shipping documents and coordinate with suppliers for corrections or missing documentation.
• Maintain and regularly update the Shipment Tracking File for all suppliers.
2. Documentation and Compliance
• Handle MOH first release and second release applications and maintain corresponding tracking sheets.
• Check and verify supplier invoices for accuracy before processing.
• Ensure proper handling and filing of original shipping documents and MOH approvals, and forward them promptly to the clearance team.
• Maintain both soft and hard copies of all shipment-related documents in accordance with ISO documentation standards.
3. Inbound Operations and Internal Coordination
• Create inbound entries in the system and send inbound notifications to the warehouse/store.
• Prepare and maintain shipment covering sheets for each consignment.
• Coordinate with the clearance team to ensure smooth customs clearance and product receipt.
4. Financial and Reporting Tasks
• Prepare and maintain clearing charge memos and debit notes.
• Manage and reconcile petty cash related to logistics activities.
• Prepare and update daily, weekly, and monthly shipment and logistics reports as required.
5. Issue Management
• Identify and report damages, shortages, or temperature excursions to suppliers.
• Coordinate with suppliers to obtain credit notes or the required investigation reports for discrepancies.
6. Record Keeping and Compliance
• Maintain accurate, organized filing of all shipment-related documents on a daily basis.
• Ensure adherence to Good Distribution Practice (GDP), MOH regulations, and ISO documentation standards across all logistics operations.

Qualifications and Experience:
• Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or a related field.
• Minimum of 3–5 years of relevant experience in logistics or supply chain management, preferably in medical or pharmaceutical distribution.
• Good understanding of import/export procedures, customs clearance, and MOH approval processes.
• Proficiency in ERP systems and MS Office (Excel, Word, Outlook).
• Strong communication, organization, and multitasking skills.
• Ability to handle confidential information with integrity and precision.

Preferred Skills:
• Certification in Supply Chain or Logistics Management (e.g., APICS, CILT, or similar).
• Experience in cold chain logistics and regulatory compliance.
• Strong analytical and reporting skills.
• High level of accuracy, accountability, and attention to detail.
