Description

Team assistants act as the backbone of an office, supporting colleagues with administrative and organizational tasks. By handling essential duties, they free up team members to focus on their specialized roles, contributing to productivity and cohesion. Job Responsibilities: • Schedule meetings and manage calendars: Book appointments, send reminders, and coordinate schedules for the team. • Coordinate travel arrangements and logistics: Book travel, accommodation, and handle related logistics for team members. • Maintain filing systems and documentation: Organize electronic and paper files, maintain document records, and oversee archiving. • Handle correspondence and communications: Answer telephone calls, respond to emails, handle mail, and act as a point of contact. • Prepare meeting agendas and materials: Draft, print and distribute agendas, and collate materials needed for team meetings. • Take meeting minutes and distribute action items: Record decisions, distribute minutes and assigned tasks post-meeting. • Organize team events and workshops: Plan logistics, invite attendees, and coordinate activities for events and workshops. • Book venues and arrange catering: Manage venue bookings, coordinate catering needs for meetings and events. • Manage office supplies and equipment: Monitor inventory, order supplies, and ensure equipment is serviced. • Coordinate with IT for technical support: Liaise with IT for troubleshooting and set up devices or software for team members. • Onboard new team members: Assist with orientation, prepare welcome materials, and facilitate system access. • Update all required reports and sheets: Prepare and maintain spreadsheets, collect and report data as needed. • Support team members with requests and requirements: Respond to ad hoc requests, help with special projects, and assist in solving problems. • Maintain staff timesheets and generate reports: Track attendance, work hours, and prepare reports for management. • Call duty schedule on monthly basis: Manage and distribute monthly call duty rosters and schedules. • Adding staff overtime and other allowances: Process requests for overtime, input into payroll systems, and maintain allowance records.
