1.TECHNICAL ASSISTANT
(ASST. TECH. - PHARMACY & SUPPLY)
Purpose
Performs typing and general clerical duties. Maintains files and assists in progressing outstanding orders for Medical Stores.
Functions and Responsibilities
a)Operates “on line” visual display unit to feed computer with information relative to material descriptions in accordance with enquiry commands, adjusts “ on line” rejections and inputs GRN, SRN and issues details of Stores Requisitions submitted by users;
b)Assists in preparation and checking of computer input documents. Maintains up- to-date computer output data files and compares the latest print with the existing to ensure that the new information is included;
c)Receives goods received notes, this involves checking information for number and quantity and transcribing on order copy. Assists in progressing duties of outstanding orders including advising progress section of purchasing department of material process and any other information as required;
d)Performs a variety of typing duties relating to pharmacy and supplies such as indents, memos, letters, Vocabulary Amendment Request (VAR);
e)Establishes and maintains files for documents and correspondence, transferring all closed files to the “Dead Files” record room.
f)Carries out other related duties such as writing messages and giving information referring to records, relieving supervisor during absence;
g)Performs assigned tasks according to established procedures and clerical standards. Supervisor shall be kept advised of work progress.
Educational Requirements
h)Completion of Diploma or equivalent with fluent spoken and written Arabic and English. Ability to type to company standard.
i)Experience (General & Specialized): 2 years’ experience in general clerical work, knowledge of computer system i.e. WP 5.1, Windows, Microsoft word and Excel including 6 months on site experience.
Special Requirements
Shall undergo a two months orientation-training programme prior to the commencement on the Services.
2.TECHNICAL ASSISTANT (ASST. TECH. CONTRACTS)
Purpose
Compiles and processes contracts and tenders documentation, adjustment orders, low value contracts, service work orders and carries out other technical/administration functions associated with tenders and contracts.
Functions & Responsibilities
a)Processes paper work related to all types of contracts and adjustment orders from the initial request until finalization;
b)Processes paper work related to Low Value Contracts and Service Work Orders;
c)Checks arithmetic calculation of bids received and prepares spreadsheets and Summary reports to be presented to the Superintendent;
d)Compiles input data for the preparation and updating of the weekly and monthly status reports.
e)Assists in the preparation of documentation in connection with disputes and claims handling, including contacting controlling department and financial services group to obtain data required in the settlement action;
f)Assists in checking of service reports and keeps record of any job incomplete and follow up against documented history job cards and preventive maintenance checklist.
g)Assists in preparation of stores requisition orders for the Pharmaceutical items;
h)Assists in checking of all invoices received for payment with respect to the equipment and Pharmaceutical items;
i)Compiles and lists prequalification documents and prepares necessary paper works.
j)carries out other related duties such as typing, filing attending to queries related to contracts, agreements, tenders, adjustment orders, L.V.C’s and prequalification exercises following up memos, letters and faxes sent to various company departments, contractors and others.
Educational Requirements
k)University degree or
Completion of Secondary education plus 2 year Diploma in appropriate discipline.
l)Fluency in spoken and written Arabic and English.
m)Experience (General & Specialized): 2 years’ experience in contracts and administration Work. Good skills in typing and Computer Software i.e., windows, MS Word, MS Excel, MS Power point, and Outlook.

3.MEDICAL (INSTRUMENT TECHNICIAN )
Purpose
Perform a variety of duties in Bio-Medical Workshop.
Function and Responsibilities
a)Report and work under the supervision of Bio-Medical Workshop staff.
b)Repairs, maintain, and calibrate Medical Equipment.
c)Maintains and updates records, service manual etc.
d)Repairs and keeps records of different requests.
e)Sorts out the incoming equipment for repair.
f)Keeping the workshop, tools and equipment in good condition.
g)Has regular contacts with employees in the division and other employees in the Medical Group.
h)Performs other related duties such as preparing daily and monthly Preventive Maintenance requests.
Minimum Requirements
i)Completion of Secondary education and have diploma in instrumentation Education.
j)Ability to type fluency in spoken and written English & Arabic.
k)Knowledge in test & repair equipment and calibration medical equipment.
l)Five years related experience.

Shall undergo a one-month orientation-training programme prior to the commencement on the services.
4.TECHNICAL ASSISTANT
(ASST. SUPPLY OFFICER (PHARMACY & SUPPLY))
Job description
Performs a variety of duties relating to computer input and output of commercial work and follows up on outstanding purchasing orders as requested by Supervisor.
Functions and Responsibilities
a)Carries out necessary data amendments in the MMMS System as per instructions, the regard to new item initiation, after preliminary screening by Supply Officer.
b)Updates the descriptions to include additional technical details when advised by Senior Pharmacist after inspection of material on receipt / on receipt of quotation.
c)Assist Supply Officer in reviewing various parameters in the initial Material Requests and ensures that the items have been categorized into appropriate commodity code, name and type.
d)Provides assistance to Supply Officer in updating Templates for catalogue lD’s, as necessary.
e)Assists in verification of Master Material Catalogue panels and brings to the attention of Supply Officer in case of discrepancy.
f)Carries-out search functions in the stock inventory and checks for duplication and notifies Supply Officer in case of duplications prior to creating Purchase Request.
g)Follows up delivery of material as per the Blanket Purchase Order Agreements.
h)Responsible for keeping records and distribution of write-off circulation lists to Users.
i)Helps Supply Officer in reviewing re-order notices generated for stock items and suggests recommendations to Supply Officer for ordering the required quantity.
j)Provides assistance to Supply Officer in investigating discrepancy report and deciding future course of action.
k)Follow-up on evaluation sent to user and feedback them for their comments.
l)Dispatch enquires and follow -up with users and purchase.
m)Assists Senior Medical Equipment Officer in preparing monthly progress report of Medical Equipment.
n)Assists Supply Officer in progressing purchase requisition until material received by medical store.
o)Keep up-to-date record of all the items ordered. Prepares statements of the SPA items ordered as well as Tender files to compare the estimated value and the actual of each item so that information can be obtained immediately, prepares a list of overdue item, this involves following up with related departments to speed up the delivery.
p)Performs any other related duties such as weekly & monthly reports.
Educational Requirements
q)Completion of Diploma or equivalent with fluent spoken and written English and Arabic.
r)Experience (General & Specialized) 4 years experience in knowledge of medical items and computer system Le. Windows, Microsoft Words and Excel, PowerPoint, Windows 2000 etc., this involves operating VDU's including 6 months on site familiarization.
5.COORDINATOR
Job Purpose
Provides technical support, performs tasks such as preparing professional reports, maintains and updates technical data for the Supervisor, provides service to the Supervisor, and organizes important documents, etc.,
Educational Minimum Requirements
a)Education:-
(i)University degree plus 5 years’ experience in clerical works. or
(ii)Secondary education Completion plus 2 year Diploma in computer Application with 8 years’ experience in clerical works.
b)Must be well acquainted in using PCs and Software released by Microsoft (i.e.: Windows, Excel etc.,).
c)Making PowerPoint presentations.
d)Must be fluent in both written and spoken English.
e)Must be able to type at least 30-40 words per minute.
f)Must be well experienced in working with Data Base programs & software.
g)Must be familiar with Company Business Software systems such as eBEAMS, DIMS etc.
Accountabilities:
h)Proficiently generate word process reports and spread sheets on critical deadlines using Microsoft Office Software.
i)Maintains and updates filing system, technical library in efficient, systematic and logical names to ensure quick retrieval.
j)Attends and records minute of meeting and prepares reports.
k)Prepares project presentation materials when required by the Direct Supervisor.
l)Performs other related duties and when required by the Direct Supervisor.
m)Updates and maintains all Register.
n)Make arrangements for meetings and Conferences, schedule appointments and assembles required materials.
